VACATION RENTAL OPERATIONS CHECKLIST
A practical operations checklist for every stay.
Use this daily workflow to keep arrivals, departures, turnovers, property readiness and operating performance visible—without rebuilding the same picture across messages and spreadsheets.
HOW TO USE THIS CHECKLIST
Run the day by exception, not by memory.
A reliable operating routine starts with the stays and tasks that can affect a guest today. Review the complete picture, resolve the highest-risk handoffs first and keep every decision attached to the reservation, property or job that created it. This checklist supports that routine; adapt its timing and approvals to your portfolio.
DAILY OPERATING WORKFLOW
Seven checks from first review to final handoff.
Start with one operating-day view
- Review today’s arrivals, departures and guests currently in house.
- Identify same-day turns, unassigned work and tight cleaning windows first.
- Open the reservation, property or task behind each exception instead of copying details into a separate list.
Confirm every arrival is ready
- Verify the reservation dates, guest name, guest count and expected arrival time.
- Check that the property address and approved arrival instructions are current.
- Confirm the previous turnover is complete and any reported issue has an owner.
Prepare each departure and turnover
- Confirm checkout time and whether another guest arrives the same day.
- Create or review the cleaning job with the correct property and service window.
- Flag maintenance, damage or guest-reported issues that the cleaner or manager must inspect.
Secure cleaner coverage
- Assign the job to a cleaner and require a clear acceptance or decline.
- Use a response window so an unanswered assignment does not remain invisible.
- Escalate declined or unanswered work to a manager or owner and reassign it promptly.
Verify property readiness
- Confirm the cleaner can access the property without exposing codes to unnecessary users.
- Collect the required work photos and record completion against the correct job.
- Resolve missing supplies, damage or unfinished work before the arrival window closes.
Keep guest and property context together
- Store guest history and operational notes where the team can find them during the stay.
- Keep property photos, parking details and arrival information attached to the property record.
- Share only the information a recipient needs; keep internal notes, access codes and financial details private.
Close the day and review performance
- Make sure every arrival, departure and cleaning exception has been resolved or handed off.
- Review completed jobs, cleaner pay and property expenses for missing information.
- Monitor revenue, ADR, occupancy and RevPAR in context rather than treating one metric as the whole result.
Same-day turnover rule: when a departure and arrival share the same property and date, treat cleaner acceptance, property access and photo verification as one connected high-priority workflow. Follow the complete same-day vacation rental turnover guide.
ONE SOURCE OF TRUTH
The checklist works best when the records behind it stay connected.
A checklist can reveal what needs attention. An operations system should also let the team open the underlying reservation, property, guest or cleaning job and act on it. Avrenor Stays is designed to connect those records in one daily operating workspace.
